1. DEFINITIONS

Personal data – all information about a natural person who is identified or identifiable through one or more specific factors determining physical, physiological, genetic, psychological, economic, cultural or social identity, including device IP, location data, online identifier, and information collected via cookies or similar technology.

Policy – this Privacy Policy.

GDPR – Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, repealing Directive 95/46/EC.

Website – the website operated by the Administrator at www.solidport.pl

User – any natural person visiting the Website or using one or more of the services or functionalities described in the Policy.

2. DATA PROCESSING IN CONNECTION WITH THE USE OF THE WEBSITE

In connection with the User’s use of the Website, the Administrator collects data necessary for commercial contact and information about the User’s activity on the Website using cookies. The rules and purposes of processing personal data collected during the User’s use of the Website are described below.

3. PURPOSES AND LEGAL BASES FOR PROCESSING DATA ON THE WEBSITE

USE OF SOLIDPORT.PL

Personal data of all individuals using the Website (including IP address or other identifiers and information collected via cookies or similar technologies), who are not registered Users (i.e., do not have a profile on the Website), are processed by the Administrator:

• to provide electronic services such as access to content collected on the Website or contact forms – the legal basis is the necessity to perform the agreement (Art. 6(1)(b) GDPR);
• for the Administrator’s or third parties’ marketing purposes, especially related to behavioral advertising – rules for marketing purposes are described in the “MARKETING” section;
• User activity on the Website, including personal data, is logged in system logs (special software storing a chronological record of system-related events). Data may be processed temporarily for security and system operation purposes such as backups, testing, or misuse detection.

CONTACT FORMS

The Administrator enables contact via electronic contact forms. Providing data marked as required is necessary to process the inquiry, and failure to do so results in the inability to process it. Providing additional data is voluntary. Personal data is processed:

• to identify the sender and handle the inquiry – the legal basis is the necessity to perform the service agreement (Art. 6(1)(b) GDPR).

4. MARKETING

The Administrator processes personal data for marketing purposes, including:

• sending email notifications about offers or content that may include commercial information,
• conducting direct marketing activities such as electronic or telephone contact.

Some marketing activities include profiling. This means the Administrator may analyze behavior or forecast preferences using automated data processing.

5. DIRECT MARKETING

If the User consents to receiving marketing information via email, SMS, or other electronic communication, personal data will be processed for this purpose. The basis is the legitimate interest of SolidPort in sending such information within the scope of consent. The User may object at any time.

6. SOCIAL MEDIA

The Administrator processes data of Users visiting its social media profiles (Facebook, YouTube, Instagram) to manage profiles, communicate, and promote events, services, or products. The legal basis is the legitimate interest (Art. 6(1)(f) GDPR).

7. COOKIES AND SIMILAR TECHNOLOGIES

SERVICE COOKIES

The Administrator uses service cookies primarily to provide electronic services and improve service quality. These include:

• session cookies for user input,
• authentication cookies,
• security cookies,
• media player cookies,
• UI customization cookies,
• shopping cart cookies,

MARKETING COOKIES

Marketing cookies are used for behavioral advertising. This requires User consent, which may be given via browser settings or withdrawn at any time by clearing cookies or disabling them.

8. PERSONAL DATA RETENTION PERIOD

Data is processed as long as necessary for service performance or until consent is withdrawn or an objection is filed. It may be retained longer for legal claims. After the period, data is deleted or anonymized.

10. DATA RECIPIENTS

Personal data may be disclosed to IT service providers, legal entities, and affiliates. Authorities may also receive data when required by law.

11. DATA TRANSFER OUTSIDE THE EEA

The Administrator does not transfer personal data outside the EEA.

12. DATA SECURITY

The Administrator continuously analyzes risks and ensures that only authorized personnel have access to data. Subcontractors are also obliged to maintain appropriate safeguards.
